Reservation Terms & Conditions

These are the terms you agree to when you reserve a spot at a WorldXpat experience. We have written them in plain English on purpose: you should be able to read them in five minutes and know exactly what you are paying, when, and what happens to your money if the group does not come together.

1. Who these terms are between

"WorldXpat", "we", "us" and "our" mean Registered company name: available on request at romain@worldxpat.com, a business licensed in Dubai, United Arab Emirates under commercial licence Trade licence number and issuing authority: available on request at romain@worldxpat.com, with its registered address at Registered address in Dubai: available on request at romain@worldxpat.com. "You" means the person making the reservation and attending the experience.

These terms become a binding agreement between us the moment you tick "I am 18 or over. I agree to the reservation terms" on the reservation page and complete the payment. If you do not agree with something here, please do not book. Write to us at romain@worldxpat.com instead and we will talk it through.

2. Who can book

  • You must be 18 or over. No exceptions. You confirm this when you tick the reservation terms, and we may ask to see ID on the day.
  • Some experiences have an age range (for example, ages 20–40). It is shown on the experience page and checked automatically when you book. It exists so the group actually works, not to exclude anyone personally.
  • One reservation covers one person, on one date. If you are coming with a friend, each of you books separately, so we have the right details for everyone.
  • You book for yourself. Spots may not be resold or offered commercially by anyone other than us.

3. What you are booking

You are booking one place at one specific experience, on the date you selected. The experience page tells you what is included, roughly how long it runs, the age range, and the group size we work with (the minimum number of people needed to confirm it and the maximum number of spots, both shown on that experience’s page).

The exact meeting point and start time are sent to you privately by WhatsApp and email a few days before, not published on the website. That is deliberate and part of the format. Everything else you need to prepare comes in the same message.

We do not tell you in advance who else is in your group. Discovering the table without expectations is the point of the experience.

4. Prices and currency

  • All prices are per person, in UAE dirhams (AED), and include any taxes that apply.
  • The price shown on the experience page at the moment you book is the price that applies to your reservation, even if we change it afterwards.
  • Your bank or card issuer may add its own currency conversion or international card fee. That is between you and your bank. We never see it and we cannot refund it.

5. How payment works, and what your card is used for

The short version. You pay a deposit today. Your card is then kept on file. The remaining balance is charged only if and when your date reaches its minimum group size and is confirmed. If it is never confirmed, that card is never charged again.

Because this is the most sensitive commitment we ask of you, section 5 spells out exactly what you are authorising.

5.1 Step one: the deposit, charged now

When you reserve, you pay a deposit (for example, 110 AED on a 550 AED experience: the exact figures are always shown before you pay). This amount is charged immediately on a secure payment page hosted by Stripe. It holds your place on the date you chose.

5.2 The authorisation you give at the same moment

When the experience still has a balance to pay, that same payment page saves your card with Stripe as a stored payment method, and you authorise us to charge the remaining balance to that card later, without you being present and without you having to enter your details again. Card networks call this an "off-session" mandate. You give it at the moment you pay the deposit, and here is exactly what it covers:

  • One single charge. The remaining balance for the one experience and the one date you booked. Nothing else, ever.
  • One single condition. It is charged only if your date reaches the minimum group size and we confirm it.
  • One fixed amount. The balance shown to you at booking (for example, 440 AED). We never charge a different amount than the one you saw.
  • Not a subscription. No recurring payment, no automatic renewal, no charge for future events, no membership fee. If you want to come to another experience, you book it and pay for it separately.

You can withdraw this authorisation at any time before the balance is charged, by cancelling your booking (see section 8) or by writing to romain@worldxpat.com. Withdrawing it means we release your spot.

5.3 Step two: the balance, charged at confirmation

Once enough people have paid their deposit and we confirm the date, at the latest 7 days before it, we charge the balance to your saved card and email you a receipt. Right after that you receive the invitation to your group's WhatsApp chat and the practical details.

5.4 If the balance cannot be charged

If your card has expired, has insufficient funds, or your bank refuses the charge, we contact you by email and WhatsApp so you can settle it another way. We give you at least 48 hours to do so. If the balance still cannot be collected after that, we release your spot to someone else and refund your deposit in full.

5.5 Who actually handles your card

Stripe does. We never receive, see or store your full card number, its expiry date or its security code. Those details go from your browser straight to Stripe. What we hold is a reference from Stripe, plus the card brand and its last four digits, so we can charge the balance, issue refunds and resolve disputes. See the Privacy Policy for the full picture.

6. How a date gets confirmed

Every date moves through three states, and you can see which one it is in on the experience page:

ConfirmedThe minimum shown for that experience has been reached. The date is going ahead, the balance is charged, and the group chat opens.
Sold outCapacity for that experience has been reached. No more spots on that date.

The go / no-go decision is made at the latest 7 days before the date. The exact minimum and maximum can differ from one experience to another; whatever applies is shown on the experience page you booked from.

7. If your date does not reach the minimum group

You never lose money because a group did not fill. The balance is never charged, and your deposit either follows you to another date or comes back to your card in full. You choose which.

Here is exactly what happens:

  1. We tell you by WhatsApp and/or email, with a personal link to your booking.
  2. You choose, on that link: move your spot free of charge to another available date and keep your deposit against it, or get your deposit refunded in full to the card you paid with.
  3. You have 48 hours to choose. We give you a clear deadline in the message.
  4. If we do not hear from you within 48 hours, we move your booking to the next available date of the same experience and keep your deposit against it. We do not refund automatically, and we never charge you anything more. You can still ask for a full refund afterwards, at any time before that new date is confirmed, by writing to romain@worldxpat.com.

The balance is never charged in this situation, whichever option you take.

8. Changing or cancelling your reservation

The full detail is in the Cancellation & Refund Policy. In summary:

  • More than 7 days before the date: cancel for any reason and get everything you have paid refunded in full.
  • 7 days or less before the date: your payment is no longer refundable, because by then the group is confirmed, the venue and catering are committed, and the other participants are counting on your seat. You are not stuck, though. You can pass your spot to a friend who meets the age criteria, or move it once to the next available date of the same experience. Just tell us at least 24 hours before.
  • Moving your spot is free. We cannot guarantee that another date will be available, but if one is, your money follows you in full.

To cancel or change anything, use the personal link in your confirmation email, or write to romain@worldxpat.com from the address you booked with.

9. Changes we may make

Real life happens. We may change the venue, the timings, the hosts, the individual activities or the running order for operational reasons. We tell you as early as we can, and we always keep the substance of what you booked.

If we make a change that fundamentally alters the experience you paid for, you can cancel and get a full refund instead.

10. If we cancel or postpone a date

You choose: a full refund of everything you have paid, or a free move to another date. We tell you as soon as we know.

We are not able to reimburse costs you arranged around the event (travel, hotels, time off work) so please keep that in mind before booking anything around a date that is not confirmed yet.

11. Circumstances beyond reasonable control

If an experience cannot go ahead because of something outside our reasonable control (extreme weather, a decision by an authority, a venue closure, a public health measure, a strike, or similar), we will move it or refund you in full, as set out above. Beyond that refund or move, no further compensation is due.

12. Behaviour and respect

The whole point of WorldXpat is that people feel safe enough to be themselves. That works only if everyone holds the same line.

  • Come open, friendly and respectful. Zero tolerance for harassment, discrimination, aggression, unwanted advances, or any unsafe or illegal behaviour.
  • Follow the law of the United Arab Emirates and local customs at all times, as well as venue rules and the instructions of our hosts.
  • Alcohol, where it is legally served, is to be enjoyed responsibly. You are responsible for your own conduct.
  • If you breach any of this, we may refuse you entry or ask you to leave, with no refund, remove you from the group chat, and decline future bookings.

13. Your health, your belongings, your insurance

  • Physical activities are optional and self-paced. You take part using your own judgement and at your own risk, and you should stop whenever you want to.
  • Please tell us in advance about anything relevant (a medical condition, an injury, an allergy) so we can look after you properly. We treat it confidentially.
  • We strongly recommend you hold your own personal, medical and travel insurance. We do not provide insurance cover for participants.
  • Look after your own belongings. We are not responsible for items lost, damaged or stolen at a venue.

14. Photos and video

We usually photograph and film our experiences, and we may use those images on our website, on Instagram and in our community channels. It is how people see what WorldXpat actually feels like.

You can opt out at any time. Tell a host on the day, or email romain@worldxpat.com. We will not publish images where you are identifiable, and we will remove existing ones on request. More detail in the Privacy Policy.

15. WhatsApp groups

Once your date is confirmed, we send you a link to your group's WhatsApp chat. Joining is optional but strongly encouraged: it is where the crew actually forms.

Be aware that your phone number and your WhatsApp display name and photo become visible to the other participants in that group. If you would rather not join, tell us and we will send you the practical details by email instead. We may remove anyone from a group for the reasons in section 12.

16. Our liability

To the fullest extent permitted by the law of the United Arab Emirates:

  • We provide our experiences with reasonable care and skill, and we take the safety and quality of what we run seriously.
  • Third-party venues, restaurants, transport and suppliers are responsible for their own services and premises.
  • Our total liability to you in connection with any reservation is limited to the total amount you paid for that reservation.
  • Nothing in these terms excludes or limits liability that cannot be excluded or limited by law, including for death or personal injury caused by our negligence, or for fraud.

17. Complaints

If something went wrong, tell us. We would much rather fix it. Write to romain@worldxpat.com. We acknowledge every complaint within 2 business days and aim to resolve it within 14 days.

Please talk to us before raising a chargeback with your bank. If a refund is due under these terms, we will simply make it. It is faster for you than a chargeback, and it costs us both less.

18. Changes to these terms

We may update these terms as our experiences evolve. The version that applies to your reservation is the one published on the day you booked. A later change never applies retroactively to a booking you already made. The date at the top of this page always tells you when it was last changed, and we announce material changes in our community channels.

19. Governing law and jurisdiction

These terms, and any reservation made under them, are governed by the laws of the United Arab Emirates as applied in the Emirate of Dubai. Any dispute that we cannot resolve between us will be submitted to the competent courts of Dubai.

Nothing in these terms takes away rights you have as a consumer under UAE law, including UAE Federal Law No. 15 of 2020 on Consumer Protection.
